Privacy notice
Last updated 2 November 2026. ScaleGiant AI is based in Halifax, Nova Scotia. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). This notice covers this website, our contact form, email, phone calls, texts, WhatsApp, our booking page and our social media pages.
Who is responsible
Our Privacy Officer is responsible for how we handle personal information. Contact: hello@scalegiantai.com.
What we collect
- What you send us: your name, business name, email, phone number (if you give it) and your message, through the contact form, email, phone, text, WhatsApp or social media.
- When you book a call: your name, email, your phone number if you choose a phone call, the time you pick and your answers to the booking questions.
- When you visit the site: Cloudflare, our web host, handles technical details such as your IP address, browser type and the pages you ask for, so it can show you the site and block attacks. We don't run our own visitor logs or analytics.
- When you open or send the contact form: Cloudflare's robot check (Turnstile) runs in your browser and looks at technical details such as your IP address and browser, only to tell people from robots. We don't save these details with your enquiry.
Please don't send health details, government ID numbers, card or bank numbers, or passwords through the form or by email.
Why we use it
- To answer your question or request.
- To run your free AI Check or AI Diagnosis if you book one, and to send you a quote.
- To keep the business and tax records the law requires.
- To protect this website and our form from spam and attacks.
We don't sell or rent your information, and we don't share it for anyone else's marketing. We don't add you to a mailing list unless you say yes to that separately. No decision about you is made by a computer alone.
Your consent
When you tick the box on the form, email us, call us or book a time, you agree that we may use your information for the reasons above. You can withdraw that consent at any time by emailing us. If you do, we may not be able to help with your request.
Services that handle your information
We use these companies to run our business. We pick services with strong security, and each one handles your information under its own terms and privacy policy.
- Cloudflare (United States): website hosting, security, the contact form and its robot check, and passing on email sent to hello@scalegiantai.com.
- Google (United States): our email inbox (Gmail), our lead list (Google Sheets) and our calendar.
- n8n (European Union): our automation service, which moves each enquiry into our lead list.
- Cal.com (United States): our booking page.
- Anthropic (United States): its AI, Claude, may help us draft replies and notes. A person reads and approves every reply before it is sent, and we set it so your information is not used to train its AI.
- Meta (WhatsApp, Facebook and Instagram), only if you contact us there. Their own privacy policies also apply.
- Our phone company, for calls and texts.
Storage outside Canada
Most of these services store data outside Canada, mainly in the United States and the European Union. While it is there, courts, police and government agencies in those countries may be able to see it under their own laws.
How we protect it
- Every account we use is protected by two-step login and a strong, unique password.
- Only our own team can open your information, and only when it's needed for your request.
- The website uses encrypted (https) connections only. The form checks and cleans everything it receives and only accepts messages sent from this site.
- We never put your information into free consumer AI apps.
How long we keep it
- If you don't become a client, we delete your enquiry and booking details within 24 months of our last contact.
- If you become a client, we keep invoices and business records for at least six years after the tax year they relate to, as Canada's tax rules require, and then delete them.
- Cloudflare keeps its own short-term security records under its own policy.
Cookies and tracking
This website sets no cookies of its own and has no analytics, advertising or tracking pixels. If that changes, we'll update this notice first and ask for your consent where the law requires it.
Cloudflare may use a short-lived security cookie, but only if it needs to check that a visitor isn't a robot. It isn't used for advertising or to follow you to other sites. Our fonts are hosted on our own site, so your browser doesn't contact Google Fonts. If you pause the animations, your browser remembers that choice on your own device. It is never sent to us.
If something goes wrong
If a breach of our safeguards creates a real risk of significant harm to you, we will tell you and the Office of the Privacy Commissioner of Canada as soon as we can. We keep a record of every breach, even small ones, as the law requires.
Your rights
You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it. Email hello@scalegiantai.com. It's free, and we'll answer within 30 days. We may first ask you to confirm who you are. If the law makes us keep something (an invoice, for example), we'll tell you what and why.
If you're not happy with our answer, you can complain to the Office of the Privacy Commissioner of Canada: priv.gc.ca or 1-800-282-1376.
Health information and children
If you run a clinic or dental office, please don't send us patient details through this website. Patient information is handled only under a written agreement that meets Nova Scotia's Personal Health Information Act. This website is for businesses and isn't meant for children.
Client systems
When we build a system for a client, we work under a written agreement. The client gets a one-page data sheet that lists what data the system touches, where it's stored, who can see it and how it's deleted at the end. In that work the client decides how their customers' information is used, and we follow the client's instructions.
Changes to this notice
When we change this notice, we update the date at the top. If a change affects how we use information you already gave us, we'll ask for your consent where the law requires it.
